After QuickBooks Online is configured and your company is connected, authorized staff can push customers and approved invoices, then pull applied payments back into PowerOps. The integration is included in the plan; confirm availability and complete setup before use.

Three manual actions after connection

Customers push

A connected PowerOps customer can be pushed to QBO on demand. If QBO already has one under the same display name, PowerOps adopts it and links to it rather than creating a duplicate, then keeps it updated.

Gated invoices post

Only invoices a named person took through the Create Invoice gate can post. Every exported line carries a QuickBooks item reference. Drafts and superseded revisions are refused; provider errors are returned for review.

Payments pull back

Payments recorded in QBO flow into PowerOps at the amount applied to each invoice, so one check spread across five invoices records correctly on all five. When a payment clears an invoice's full balance it fires Invoiced to Paid and retires the open pay link.

Concretely: the invoice for a load bank test on a 350 kW unit posts to QBO carrying the same line items the technician's work order produced, and the ATS transfer-test line bills the same way. One boundary, stated plainly: an invoice carrying tax or a discount posts as a single line at its true total until per-line tax mapping ships, so the books always balance even where the line detail collapses.

A person triggers every sync

Sync actions sit on the invoice detail, the customer detail, and the Settings integrations card. No cron. No webhook writing to your ledger overnight. Your books change when someone on your team says so, which is the same rule every workflow gate in PowerOps follows. Payment receipt can settle an invoice automatically; the other audited workflow transitions require staff approval.

The connection is locked down

Connecting happens through Intuit's own consent screen and requests the accounting scope only. The OAuth tokens live in a service-role-only table that browser sessions cannot read, the handshake is hardened against forged callbacks, and disconnecting attempts to revoke the Intuit grant before removing the local connection. Revocation is best-effort. What stays inPowerOps stays in PowerOps: NFPA 110 records, load bank results, ATS test logs, and service history never leave for your ledger.

What must be set up before I can sync?

PowerOps needs configured Intuit credentials and an authorized connection to your QuickBooks Online company. A person with Company Settings Configure permission connects through Intuit and runs each sync. Confirm availability with your account team before relying on this integration.

Does PowerOps work with QuickBooks Desktop?

No. The integration is with QuickBooks Online, connected through the standard Intuit consent screen with the accounting scope only. If you are still on Desktop, the CSV import tools cover getting your customer and equipment data into PowerOps either way.

What exactly syncs, and in which direction?

After provider setup and company connection, three manual actions are available. Customers push from PowerOps to QBO. Invoices push once they have passed the Create Invoice gate, every line carrying a QuickBooks item reference; if your company file has no active Service item, PowerOps creates one, named PowerOps Services, to carry those lines. Payments pull from QBO at the amount applied to each invoice, and a payment that clears the full balance fires the Invoiced to Paid transition. Payments on invoices that never came from PowerOps are left alone.

What triggers a sync?

An authorized person with Company Settings Configure permission. After connection setup, sync actions are available on the invoice detail, customer detail, and Settings integrations card. There is no scheduled or webhook-triggered QuickBooks sync. Review the result of each action before retrying a failed operation.

Will it create duplicate customers in QuickBooks?

The customer-push implementation handles an active QBO customer with the same display name by linking to that existing record. A failed lookup or an inactive customer can require review in QuickBooks. Check the sync result before retrying.

Can a draft invoice reach QuickBooks?

No. Only invoices that a named person has taken through the Create Invoice gate can post. Drafts and superseded revisions are refused. Your ledger only ever sees invoices somebody signed off on, which is the same accountability rule the rest of PowerOps runs on.

How is the QuickBooks connection secured?
